he Governance Institute is a member organization serving health care system directors, executives, and physicians. This organization conducts annual conferences that provide valuable tools that greatly benefit their members. Members are encouraged to attend, and in the past years, these conferences have been a success. This years conference will take place at the Mountain View Resort and Spa located in Boulder, Colorado. Amy Foote, who is the head meeting planner for The Governance Institute, has noticed a major decline in attendance for this years conference. With this challenge, Amy and her team of event planners must come up with new ways to market the event and increase attendance. With the conference being only two months away, Amy decided her team needed to come up with a solution to this problem and increase attendance. The team researched many options and scenarios. With so many new technologies, Amy questions if a virtual component tied into the on-site event could replicate the conference experience. With this in mind, Amy and her team developed a virtual conference to be held during the Boulder conference. This is the first virtual conference Amy has ever planned, and she wants it to be a success. The virtual conference would stream live presentations from all keynote speakers through webcasts and offer online networking with other virtual attendees. There would also be panel discussions featuring question and answers with speakers, and virtual booths from participating sponsors. A major concern Amy has is how to market this event. She does not want to take away attendance from the actual event. Amy decides only to offer it to members that had declined in advance, and they would not start marketing this event until after most members had registered and booked their travel arrangements. They started to promote the virtual conference two weeks before the live conference took place. Email invitations were sent out that accompanied an online registration.
